Graduation (Doctoral)

Students intending to graduate are personally responsible for ensuring that procedures clarified in the online Graduation Guidelines and Procedures are accomplished, including submission of the required documents to the Graduate School.

Graduation Instructions
In the quarter prior to the quarter in which a student anticipates graduating, the student should confer with his or her program office staff. Also at that time, it is essential that he or she consults the Graduation Deadlines and the Graduation Guidelines and Procedures through the Graduation link on the Graduate School website.

Everything a student must know in order to meet graduation requirements – including deadlines, submitting dissertations, and commencement information – is included on this site in a step-by-step tutorial format. There are three (3) sets of guidelines applicable to three (3) different categories of students – doctoral students (including CCM but not PharmD or Doctor of Audiology students), thesis students, and non-thesis students. Students should not make assumptions as to the category that is appropriate for them without reading the definitions. Each student must be absolutely certain to read the definitions and select the correct set of guidelines that pertain to his or her category. The serious consequence of reading the wrong guidelines is that the student will not receive the information he or she needs in order to graduate and will miss the deadline for that quarter.

The following definitions apply to doctoral students.

Application to Graduate
After completing his or her academic requirements, each student must read the Graduation Guidelines and Procedures that apply to them and apply for his / her degree by completing an official online Application to Graduate by the deadline in the quarter in which he or she expects to graduate. Failure to meet this firm deadline with all requirements will delay the student’s graduation until the following quarter, and he or she must then submit a new application for his or her revised graduation date. The online Application to Graduate is activated for student access for approximately a 4-week period prior to the end of each quarter. Steps on the application itself may be read and completed only incrementally upon completion of each preceding step.

The student’s application to graduate is not complete or accepted until the student checks the “Finalize graduation application” box at the end of the online Application to Graduate and he or she receives the confirmation message, “You have completed the online Application to Graduate.” When the application is completed, the student’s program office is automatically notified via email of the student’s application, The Graduate School receives the application, and certification of the student’s records begins at both program and university levels to verify satisfaction of graduation requirements. Students should check with their program office to determine the status of their certification and to assure that any problems related to their requirements are resolved in a timely manner. Failure to meet all requirements by the deadlines will result in delay of the student’s graduation until a subsequent quarter.

Dual Degree Programs
Students preparing to graduate from a dual degree program or finishing multiple degrees in the same quarter must complete a separate application for degree for each program. As the Graduation website will allow the student to complete the online Application to Graduate for only one degree, the student must submit one application online and complete a hardcopy Application to Graduate for the second degree in the Graduate School office (Room 110, Van Wormer Hall). The Graduate School recommends that students use the online application for the degree with the highest requirements (for example, dissertation over thesis or thesis over non-thesis). This will ensure that the student receives the most complete set of forms and guidelines for graduation. Each of the two programs must follow the processes and procedures necessary to facilitate the student’s graduation from their own program, forwarding a Checklist for Completion Form and other requirements for certification.

Graduation Requirements for Doctoral Degrees
Students must be registered for at least one graduate credit that contributes to degree requirements (as determined by the graduate program) during the academic year in which they graduate from that program. Doctoral students must also complete degree requirements within a nine-year period (five to meet candidacy and four to complete research) unless they have an approved extension (See Extensions of Time to Degree). They should contact their program office for any additional program requirements or deadlines to be completed prior to graduation.

Certification for Graduation
The finalization and submission of a student’s Application to Graduate will activate the process by which the student will be certified for graduation. The student should confer with his or her program office to assure that any problems related to these requirements are resolved in a timely manner and avoid delay of graduation until a subsequent quarter.

Specifically, the student’s records will be reviewed to verify satisfaction of the following requirements:

  • finalization and submission of his or her online Application to Graduate by the deadline;
  • instructor’s submission of acceptable grades for his or her final quarter credits;
  • removal of all I grades from his or her transcript;
  • removal of all UP grades from unapproved courses and/or the final quarter in which the courses were taken; assignment of letter grades rather than UP grades for courses in the final quarter of the student’s program;
  • confirmation of satisfactory repetition or waiver of required courses in which an F was originally received;
  • confirmation of completion of work and changes of I grades within the one-year limit;
  • confirmation that the student was registered for at least one credit in his or her graduate program in each academic year;
  • confirmation that the student reached candidacy and completed his or her degree;
  • requirements within his or her prescribed time-to-candidacy and time-to-degree;
  • satisfactory completion of at least 135 graduate credits in the student’s degree program, including at least 10 research credits (many programs have higher requirements);
  • completion of all program requirements for the degree;
  • receipt and approval of the student’s electronic dissertation and related forms by the Graduate School (see Preparing for Thesis & Disseration Submission for instructions and required format).

Note: The requirements clarified here and in the Graduation Guidelines and Procedures are university requirements. Students must contact their program office for any additional program-level requirements or deadlines that must be completed prior to graduation.


Doctoral Hooding and Master's Recognition Ceremony

At the end of every spring quarter, all doctoral students who graduated throughout the preceding three quarters – summer, autumn, and winter – and those who applied to graduate in June receive an invitation from the Dean of the Graduate School to participate in the university’s prestigious Doctoral Hooding and Master’s Recognition Ceremony that is held in June of each year. During the 2007-2008 academic year, master’s students who graduated in winter quarter 2008 and those who have applied to graduate in June 2008 will also be invited to the Doctoral Hooding and Master’s Recognition Ceremony. This is a joyous occasion in which students celebrate their accomplishment with family and friends as they are recognized by faculty and administrators and receive their hoods.

The letter of invitation and confirmation form from the Graduate School will be mailed around the first week of March prior to the June ceremony of that year. Graduates must confirm their intent to participate (or not) by responding to the letter with their confirmation form by the deadline. In the event that a student moves from the address listed on his or her Formal Application for Degree, the student must notify the Graduate School of his or her current address in order to receive an invitation to the Doctoral Hooding Ceremony and Master’s Recognition Ceremony.
