Instructor Grade Changes
A change of grade is only appropriate for an I, an IP, an NG, or an error made by the instructor. F and I/F grades cannot be changed. To implement a change, the instructor must do so on an official Change of Grade form. In no case is the student to have possession of an official Change of Grade form. Change of IP, NG, or letter grades for non-research graduate courses is subject to a five-year limit; after five years, the student may petition for the change. Except for I grades, there is no time limit on change of grades for research courses.

Previously reported NG grades may not be changed to W since a W reflects an official withdrawal that took place by the 58th calendar day of classes and would already have been recorded for the student. Students cannot withdraw from a class retroactively.

If a student is assigned an I (incomplete) in a course, he or she has one year in which to complete the course requirements and earn a grade. If the student completes his or her course requirements to the instructor’s satisfaction within the year, the instructor changes the I to a letter grade on an official change-of-grade form. If the student does not meet the instructor’s requirements, the I automatically converts to an I/F after one year. Once the I/F is on the transcript it cannot be removed.

I grades must be changed to a letter grade by the Office of the Registrar (upon receipt of a change-of-grade form from the instructor) no later than the grading deadline for the 4th quarter following original assignment of the I grade. On that deadline the I automatically converts to an I/F and cannot be changed. Therefore, change-of-grade forms changing Is to a letter grade must be submitted to the Office of the Registrar by the instructor at least 5 working days before the grading deadline to allow time for processing and posting. Otherwise there is no guarantee that the change will be posted before the conversion.

Registrar’s Office Grade Changes
The Office of the Registrar may change certain grades reported on the instructor’s grade list in the following manner:
  • A W reported for graduate credit is converted to UW if there is no official withdrawal.
  • Any student for whom no grade has been reported by the grading deadline is assigned an NG mark.
  • U grades reported for credit courses are converted to F grades; the U is valid only for non-credit courses.
  • An I is converted to an I/F if the instructor has not changed the I to a letter grade at least 5 working days before the grading deadline for the fourth quarter following original assignment of the I grade.
  • The grades C-, D+, D, D- are converted to NG, as they are not valid grades at the graduate level.

Time Limits on Change of Grades
Non-Research Courses
Change of IP, NG, or letter grades (in cases of institutional error) for non-research graduate courses is subject to a five-year limit. Thereafter, the student may petition the Senior Assistant Dean of the Graduate School through his or her program director for the change. Change of I grades are subject to a one-year limit. If a student’s candidacy lapses, consideration of his or her petition for reinstatement, extension, or both, includes consideration of I, IP, and NG (or N) grades and the year in which they were earned. Research Courses
Change of IP, NG, or letter grades (in cases of institutional error) for research courses are not subject to a time limit. Change of I grades are subject to a one-year limit. Change of Grade forms for research courses are initiated by the instructor and submitted directly to the Registrar. If the student’s candidacy lapses, consideration of his or her petition for reinstatement, extension, or both includes consideration of I, IP, and NG (or N) grades and the year in which they were earned.
